HOW TO REGISTER & REGISTRATION CONFIRMATION
How To Register There are three ways that you may register for events: 1. Mail registration form and check or credit card payment.
2. Fax registration form with credit card payment.
If you will be faxing in a registration and would like to confirm that your fax was received, please call IMMEDIATELY after sending your fax. If you wait to call we may not be able to locate your fax for several days.
3. Register online using a credit card. (available for MOST events)
To find the registration form or link to online registration for an event, find the event on the Training Page and follow the link to more information about that event. There you will find the link to online registration (if available) and the brochure, which will contain the registration form and registration instructions. (Please note most one-day seminars will be included in the Training Events brochure). Please be aware that beginning on March 15, 2010, NC AWWA-WEA will be using E-Check for all paper checks that we receive. By submitting a paper check you are hereby authorizing NC AWWA-WEA to initiate an one-time debit entry to the bank account indicated on the paper check for the full amount of the fees due for your payment. Registration Confirmation (Receipts) Confirmations are sent to all attendees registered for one of our events. If you would like the confirmation sent to someone other than the attendee (i.e. credit card holder) you will be able to indicate this during online registration or on the paper registration form. If you do not receive confirmation of your registration, contact our office BEFORE the event to confirm your registration. Refunds and switches will NOT be granted to attendees who do not attend an event because they didn’t receive confirmation of their registration.
For attendees that provide an email address, Confirmation/Receipt will be emailed to the attendee AND the alternate contact person (if indicated). If an email address is not provided, Confirmation/Receipt will be mailed to the attendee OR the alternate contact person. Regardless of how confirmation is sent, it is the responsibility of whoever receives it to distribute it appropriately (i.e. credit card receipt to cardholder and instructions to attendee). Duplicate copies of receipts may be printed by following the link in the Registration Confirmation email that you receive. If you need our office to print a duplicate receipt for you it may take up to five (5) business days to process. To request a duplicate receipt from our office, complete the Duplicate Request Form and submit to our office. This form provides us with the necessary information to find and generate your receipt. REGISTRATION RATES Member Registration Rate vs. Non-Member Registration Rate Attendees who are current members of the American Water Works Association (AWWA) and/or the Water Environment Federation (WEF) or NC State Level Association Members (SLAM) are eligible for the member rate. Please refer to your membership card(s) for your member number(s). We will verify membership numbers for eligibility and will return registrations for those who pay the incorrect amount. Individual membership numbers may only be used by the person to whom they are issued. Organizational numbers may be used by anyone employed by that organization. Pre-Registration/Early Registration Rate vs. On-Site/Late Registration Rate Pre-registration/Early Registration deadlines vary by event. Please refer to the registration materials for each event for that event’s specific deadline. The cost to attend an event usually increases after the pre-registration/early registration deadline. For all events, registrations are accepted on a first-come, first-serve basis, of completed registration form and correct payment. Submitting your registration and payment before the pre-registration/early registration deadline does not guarantee you a space. On-site registration is not available for all events, and registrations will only be accepted on-site if there is space available. SOCIAL SECURITY NUMBER Social Security Numbers NC AWWA-WEA’s attendance/contact hour tracking program uses the last four digits of your SS# in combination with your certification numbers as a unique identification number to verify who you are and to communicate to the appropriate agency when reporting your attendance/contact hour record. We do NOT use your partial SS# for any other purpose. Your partial SS# will NOT be given out to anyone other than the appropriate reporting agency for your license. If you will not allow us to use your partial SS#, please indicate "refused" in the SS# blank. While we will be happy to register you, we cannot guarantee accurate tracking of your attendance at these events. Return to Top of Page
CERTIFICATES OF ATTENDANCE & CONTACT HOURS/PDH'S Certificates of Attendance Seminars Participants who arrived on time and stay until the conclusion of a seminar will receive a Certificate of Attendance. This certificate will document attendance for use in demonstrating contact hours for Professional Growth Requirements for Certified Water Treatment Operators and Wastewater Operators, and PDHs for Professional Engineers. Participants must pick up their own certificate at the conclusion of the seminar. No certificates will be given out early, to another individual, or mailed. Duplicate Certificates will be printed for a $15 fee. To request a duplicate certificate, complete the Duplicate Request Form and submit with payment. Duplicates may take up to five (5) business days to generate and they cannot be faxed. Schools Participants who successfully complete a school will receive a certificate of attendance. For a definition of "Successful Completion" please refer to the brochure for the school and class you are attending. Participants must pick up their own certificate at the completion of the school. Duplicate Attendance Certificates (for all courses EXCEPT Water Meter Technician) For schools held at community colleges, duplicate certificates may be obtained by contacting the community college at which the class was held. You must follow the community college’s rules and procedures for obtaining a duplicate certificate. For schools NOT hosted at a community college, the NC AWWA-WEA will print duplicate certificates for a $15 fee. To request a duplicate certificate from the NC AWWA-WEA, complete the Duplicate Request Form and submit with payment. Duplicates from NC AWWA-WEA may take up to five (5) business days to generate and they cannot be faxed.
Water Meter Technician Certificates Contact the NC AWWA-WEA office for questions regarding Duplicate Certificates. Conferences Conference attendees will be given a contact hour/PDH sheet to collect stamps for each eligible session that they attend. This sheet will serve as your certificate of attendance. After an event, you may turn in a copy of your Contact Hour/PDH form to NC AWWA-WEA (please refer to each individual form for the deadline for submitting the contact hour/PDH for). We will use this form to calculate and report the number of contact hours/PDH’s you earned. We will also keep a copy on file in case your original becomes lost and you need proof of attendance in the future. This form is the only record of the actual sessions/events that you attend at a conference. A duplicate copy of your Contact Hour/PDH Form will be made for a $15 fee. To request a duplicate copy, complete the Duplicate Request Form and submit with payment. Duplicates may take up to five (5) business days to generate and they cannot be faxed. Contact Hours/Professional Development Hours Seminars Refer to registration information for each seminar to determine how many contact hours are available and for which licenses/certifications the seminar has been approved. Only attendees who arrived on time and stay until the conclusion of a seminar will receive Contact Hours/PDH’s. No partial credit will be awarded to attendees. Registered speakers may receive partial credit equal to the amount of time that they participate in the seminar. Speakers should talk with the NC AWWA-WEA staff representative on-site at the seminar to receive their partial credit. Schools Refer to registration information for each school and the specific class you will be taking to determine how many contact hours are available and for which licenses/certifications the school and class has been approved. Participants who successfully complete a school will receive Contact Hours/PDH’s. For a definition of "Successful Completion" please refer to the brochure for the school and class you are attending. Instructors may receive partial credit equal to the amount of time that they teach at the school. Instructors should talk with the NC AWWA-WEA staff representative at the school to pick up a Contact Hour/PDH form. Conferences Specific technical sessions, meetings, and events are approved for Contact Hours/PDH’s. When you arrive at a specific conference, refer to your conference program and Contact Hour/PDH form for details on which sessions/events are approved, for how many hours, and for which type of license/certification. The number of Contact Hours/PDH’s earned will vary by attendee and it is the attendee’s responsibility to complete their Contact Hour/PDH Tracking Form as they attend a conference.

REFUNDS, SWITCHES, & SUBSTITUTIONS Refunds Requests for refunds must be submitted in writing. A $15 administrative fee will be deducted from all refunds. All refunds will be issued by check regardless of original payment method. Refunds will not be processed until the conclusion of an event. Please allow 2-3 weeks after an event to receive your refund. Shipping & handling charges for book orders will not be refunded. Seminars Refund requests must be received in writing at least five (5) business days before a seminar. Refunds will be issued minus a $15 administration fee. A Duplicate Request Form may be downloaded from this website.
Schools & Conferences Refund requests must be received in writing by the deadline indicated in the brochure for that specific school or conference. Registration Switches (Same Attendee, Different Registration) Seminars If space is available, it may be possible to switch to another NC AWWA-WEA seminar within the same calendar year. It is not possible to switch to a school or conference. Requests to switch must be received in writing at least five (5) business days before the original seminar. When switching seminars, if there is a cost difference between the original seminar and the new seminar, call the NC AWWA-WEA office for details on how it will be handled. Schools If space is available, it may be possible to switch from one class to another within the same school. It is not possible to switch to a class that will be held at a different school, or to a conference or seminar. When switching classes at a school, if there is a cost difference between the original class and the new class, call the NC AWWA-WEA office for details on how it will be handled. Conferences It may be possible to switch from one registration type to another within the same conference. It is not possible to switch to registration at another conference, school, or seminar. When switching registration types at a conference, if there is a cost difference between the original registration type and the new registration type, call the NC AWWA-WEA office for details on how it will be handled.
Registration Substitutions (Different Attendee, Same Registration) Substitutions may be made at any point, including during registration at the event. Please inform us as soon as possible so that we may have you complete the appropriate paperwork, handle any cost difference between members and non-members, and generate the correct documents. Update Member Contact Information National AWWA & WEF Members Each national organization maintains their own membership information, so you must contact the organization(s) you belong to in order to change any of your information (name, address, employer, etc.). As the NC AWWA-WEA, we download limited information from each national organization on a quarterly basis to create our mailing list. Once you have contacted the national organization(s) to update your information, you may contact the NC AWWA-WEA office to update your information with us for the remainder of that quarter. SLAM Members Membership information is maintained by NC AWWA-WEA, so you may contact our office to update any of your information.

Severe Weather Policy If we cancel an event due to inclement weather, we will contact all registered participants by phone. If the event continues as scheduled but you cannot travel due to inclement weather in your area, you must call the NC AWWA-WEA office by 3:00pm the day before the event to cancel your registration and receive a refund (minus a $15 administrative fee) or switch to another event. Switches must be to a similar event, within the same calendar year.
Accepted Payment Methods We accept cash, checks (made payable to NC AWWA-WEA), and credit cards (Visa, MasterCard & American Express). We do not accept purchase orders. We do not invoice - all payments must be received before registrations/applications/orders will be processed. We cannot use one form of payment to "hold a space" until another form of payment is received, (i.e. you cannot fax a credit card payment to hold space in a seminar/class until a check is received in the mail).
